1. Purpose of Coaching
Coaching is a collaborative process designed to support your thinking, reflection, clarity, decision-making and development.
As your Coach, I will listen, ask questions, reflect observations and, where appropriate, challenge your thinking. My role is not to tell you what to do or make decisions for you.
You remain responsible for your own choices, decisions, actions and outcomes.
2. Coaching Is Not Therapy or Professional Advice
Coaching is not therapy, counselling, medical or mental health treatment, legal advice, financial advice or another regulated professional service.
No particular outcome from coaching can be guaranteed.
If I believe your needs fall outside my professional competence or the scope of coaching, I may discuss whether another form of support would be more appropriate.
3. Our Working Relationship
We agree to work together with openness, honesty and mutual respect.
You are free to:
decide what you want to explore;
decline to answer any question;
tell me if something is or is not working for you;
ask for a different approach; and
end the coaching relationship in accordance with this Agreement.
I welcome feedback throughout our work together.
4. Confidentiality
Our coaching conversations will be treated as confidential.
Confidentiality may be broken where:
you give permission for information to be shared;
disclosure is required by law;
there is a serious and immediate concern about risk of harm; or
I seek professional supervision or legal advice, in which case I will take reasonable steps to protect your identity and confidentiality.
If your coaching is funded by an employer or another organisation, any information-sharing or reporting arrangements will be agreed separately and clearly in advance.
5. Professional Coaching Standards
I aim to practise in accordance with the professional and ethical standards applicable to my coaching practice, including the principles of confidentiality, appropriate boundaries, integrity and client autonomy.
If you are an ICF member or credential-holder, this section should name the ICF and accurately describe your current status. Do not imply accreditation you do not hold.
6. Sessions
Sessions will normally take place online via Google Meet.
Each session will last a maximum of 60 minutes, unless otherwise agreed.
If you arrive late, the session will normally still finish at the scheduled time.
7. Rescheduling and Cancellations
Please provide at least 48 hours’ notice if you need to reschedule.
Where less notice is given or you do not attend, the session may be treated as used, subject to applicable law and exceptional circumstances.
If I need to cancel, I will offer an alternative appointment. If we cannot agree a suitable alternative, the affected session will be credited or refunded as appropriate.
8. Fees and Payment
The agreed fee is [£X] for [SERVICE/PACKAGE].
Payment is due [IN FULL BEFORE COACHING / ACCORDING TO AGREED PAYMENT PLAN].
Any additional sessions will be agreed and charged separately.
International clients are responsible for any currency conversion or transaction fees charged by their payment provider.
9. Cooling-Off and Cancellation Rights
Depending on where you live and how you purchase coaching, you may have statutory cancellation rights.
Where an applicable cooling-off period applies and you request that coaching begins before it ends, you expressly request that services begin during that period. If you subsequently cancel, you may be required to pay for services already provided where permitted by law.
Nothing in this Agreement removes any mandatory consumer rights that apply to you.
10. Ending the Coaching Relationship
Either of us may decide to end the coaching relationship.
I may also pause or end coaching if:
coaching is no longer appropriate;
your needs fall outside my professional competence;
professional boundaries are repeatedly breached; or
there is abusive, threatening or inappropriate behaviour.
Any unused prepaid services will be dealt with fairly and in accordance with applicable law and the Terms & Conditions applying to your purchase.
11. Notes, Recording and Technology
I may keep brief coaching notes to support our work together and manage my professional practice.
Neither of us will record a coaching session without the other person’s prior agreement.
AI transcription, recording or automated note-taking tools will not be used without appropriate notice and consent.
Personal information will be handled in accordance with the In Before Out Coaching Privacy Policy.
12. Online Coaching
You are responsible for joining sessions from a reasonably private environment with a suitable internet connection and device.
If significant technical difficulties prevent a session from taking place, we will work together to find a reasonable solution.
13. Client Responsibility
You understand that you remain responsible for:
your physical and mental wellbeing;
your personal and professional decisions;
any actions you choose to take;
seeking appropriate specialist support where necessary; and
determining whether coaching is suitable for you.
14. Intellectual Property
Any original coaching materials provided by In Before Out Coaching remain our intellectual property unless otherwise stated.
You may use them for your own personal, non-commercial purposes but may not reproduce, sell or distribute them without written permission.
15. International Clients and Governing Law
This Agreement is governed by the laws of England and Wales.
If you are a consumer living elsewhere, nothing in this Agreement is intended to remove mandatory rights or protections available to you under applicable law.
16. Complaints and Concerns
If you have a concern about our work together, I encourage you to raise it with me so we can try to resolve it.

For your business, I would have four documents in place before taking regular paid clients: your Website Terms & Conditions, Privacy Policy, Cookie Policy, and this Client Coaching Agreement.
One important improvement I'd make before you use this: if you're following an ICF approach, we should tailor the professional standards and confidentiality wording to your actual ICF status rather than making a generic claim.
